Role: Travel Executive

Reports to: Business Process Manager

 

Role Purpose

To work alongside the Travel Consultants in teams to ensure an exceptional standard of guest service is delivered through meticulous attention to detail thereby delivering accuracy in our procedures, documentation, invoicing and booked services.

 

Responsibilities

 

  • To be a core component of the team by dovetailing operational requirements with the Travel Consultant’s sales responsibilities ensuring efficiency and accuracy
  • To diligently adhere to operational procedures and to escalate instances where this isn’t being followed by the team
  • Confirm all holiday arrangements, supplier bookings/invoices are correct and ensure guest documentation is completed to the highest standard
  • Act as a second pair of eyes, spotting discrepancies and areas for possible errors
  • Obtain and accurately record all required information from guests on behalf of the Travel Consultants
  • To prepare and send guest documentation (electronically and via the Scott Dunn app prior to dispatch) in a timely manner
  • When required, organise any additional extra elements for the holiday such as excursions, restaurants, spa treatments in conjunction with the Travel Consultant – notably in busy departure periods
  • To attend supplier meetings, trainings to ensure total immersion in the destinations offered, including from time-to-time visiting countries as part of a fam trip

Duties

 

The duties that derive from these responsibilities include but are not exclusive to:


  • To reject bookings that do not meet the agreed operational standard passing them back to Travel Consultants to be updated
  • To support team members with their workload as and when necessary  
  • To provide the Sales Management team with regular feedback on the quality of bookings and highlight where processes have not been followed
  • To ensure that we remain consistent as a team and that our processes are regularly reviewed to enable us to continuously provide our guests with the best service
  • Support our sales team with the entire guest journey
  • To communicate, document and maintain the policies and procedures on the platforms and sub-departments within Sales Operations
  • To identify improvements within our sales process
  • To assist the Business Process Manager and Head of Sales Operations with projects designed to improve efficiency, as required
  • Such other duties as management may reasonably require from time to time.
